How To View System Asset Information

Blue Mountain Regulatory Asset Manager (Blue Mountain RAM) offers a type of asset record for documenting systems, called a System Asset. Systems track hierarchical conglomerations of equipment and instruments working together. Examples of systems include Bioreactors, Water for Injection Systems (WFI), and Vacuum Ovens. System Asset records have features that display the hierarchical structure of a system, and list all work done to the system and its members during their membership.

Hierarchical Structure of a System

Within the “View” menu of each system and system member, you will see the menu item, “Hierarchy.” This opens the “Hierarchy” window, which displays the structure of the system –  including all members, subsystems, and subsystem members. Over time, as assets join and leave the membership of a system, information is documented in the System Asset’s Audit Trail, such as the Asset ID, date, time, and who made the change.

By highlighting a listing in the Hierarchy window and clicking the “View Child Component” button on the window’s toolbar, you can view the full listing.

When the Hierarchy window is opened from a system member asset, the member’s listing appears in bold font and the “Current System Root” pick list in the top right corner provides a way to switch between displays of different System Hierarchies if the system member belongs to more than one. Enabling a system member to belong to more than one system simultaneously is an optional behavior chosen by your organization at the time of implementation. If this behavior is not chosen, a system member can only belong to one system at a time.

System Work List

Since work flows from the top down for systems, the work list of System Assets reports all work done against both the system and the system’s members. The “Asset ID” column identifies which asset the work addressed. System members are generally worked upon individually and independently of the system. The system itself will also have scheduled activities, such as validations.

To see the system’s work list, open a System Asset’s “View” menu and choose “Work.” Double-click a work listing to open the record and view its full content.

Work done to a member of a system may or may not affect the other members of the system. A member’s work list only displays the member’s work.

A “System Hierarchy” report comes with Blue Mountain RAM, however it may need to be customized to match your configuration of fields. This report lists systems and their members. If there are subsystems, the subsystems and the subsystems’ members are indented to show their position within the hierarchy. Select the desired dataset and system(s) in the report’s parameters displayed within the Reporting Toolbar and click “View Report” to run the report.
